Dear Mr. and Mrs. XYZ,

As a principal of the school, it is my duty to inform you about the academic performance and moral conduct of your son/daughter. I am very sorry to let you know that your daughter/son’s academic performance and conduct is neither up to the mark nor satisfactory. (Describe in your own words). His/her academic performance has been consistently poor since last two months. In addition to his/her lack of interest and diligence in his/her studies, his/her behavior with his/her teachers is inappropriate. Moreover, his/her persistent absence from the class is adding more harm to his/her already poor academic performance. (Describe actual problem and situation).

The purpose of this writing to you is to inform and suggest to both of you so that you could persuade your son/daughter to mend his/her conduct with his/her teachers and perform well in his/her studies. His/her current academic performance and behavior are not meeting the criterion to continue his/her studies in my school. (focus on the total situation). However, I am giving you a chance to advise him/her to correct his/her conduct with his/her teachers and improve his/her academic performance. In other cases, his/her candidature as a student in my school will be terminated on this account. (describe your requirement).

Irrespective of this, I am fully convinced that s/he has the potential and talent to shine in his/her studies provided that s/he is interested and motivated to do so.

I am optimistic about the fruitful result of my writing to you.

Regards,
